Data Protection and Usage Policy

Data is collected for specified, explicit and legitimate purposes and not used for any other purpose. 

 

All data is held securely and accessed only by the directors of Pangaea Television or by members of staff with express permission from either of the two directors.  

 

Examples of data required and collected by Pangaea Television Ltd to facilitate the management, production and delivery of video production services to our clients include: 

 

  • Email addresses. 

  • Telephone numbers. 

  • Video footage containing likeness and relevant credentials. 

  • Video footage of associates and consenting third parties. 

  • Video footage of the public for illustrative purposes.  

  • Pre-existing marketing materials/content. 

  • Still images of clients or relevant personnel. 

  • Access to early-stage marketing material (pre-launch websites etc) 

  • Client payment information. 

 

 

PRINCIPLES 

 

Email addresses and telephone numbers 

 

Correspondence information such as email addresses or telephone numbers are kept on record indefinitely to facilitate ongoing relationships and the company’s client portfolio unless requested otherwise. 

 

All correspondence information is kept within a secure, online ecosystem consisting of Microsoft 365 and Google accounts. Each protected by a secure password and multi-factor verification tools. 

 

Information is also stored locally on our password protected server. 

 

 Video footage and still imagery 

 

All video footage and/or still imagery captured to get the job done is stored locally on our password protected server and across individual hard drives, kept safe on-site. 

 

Final output is delivered to client, stored on-site and in most cases, uploaded to the Pangaea Television YouTube channel for its own marketing purposes.  

 

Content is also shared via WeTransfer through a password protected account, these files are held for 28 days. 

 

We retain all video footage and/or still imagery indefinitely where possible. However, in some cases, files are selected for deletion based upon likelihood of reuse or time passed. This is left to the discretion of Pangaea Television. More long-term storage may be requested for an additional storage fee. Deleted footage is unrecoverable by any party.  

 

In some cases, RAW (High quality) footage or imagery is converted to a more storage friendly format, they remain accessible and useable but to a limited output capacity. 

 

Any individual featuring prominently in our video footage will be fully consenting and be well informed of the nature and ultimate use of the final video product.  

 

We recognise that individuals’ rights include the right to be informed and to erasure of material relating to them or their business upon request.  

 

When filming the public for illustrative purposes, we obtain consent wherever reasonably possible. When not possible, we carefully assess the ability to identify individuals and take steps to prevent this. 

Appropriate consent is obtained when children or vulnerable people are involved in a project, along with extra care taken in general.  

All original imagery is protected by copyright and cannot be used without the consent of Pangaea Television Ltd. 

Pangaea TV reserves the right to use all footage obtained for its own marketing purposes unless asked otherwise 

Pre-existing and provided marketing/copyrighted material 

In many cases, clients will send us pre-existing, copyrighted material for use in their projects with Pangaea Television. This is secured alongside any original material produced by Pangaea Television and subject to the same protection principles (identified above).  

 

Client banking information 

 

Any payment information relating to the transfer of funds is stored within the HSBC business banking framework. Invoices sent to Pangaea Television are stored within a secure email framework or locally on our password protected servers.  

 

Held securely 

 

Data is held securely, so that it can only be accessed by those who need to do so. For example, paper documents are locked away, access to online folders in shared drives is restricted to those who need it, IT systems are password protected, and/or sensitive documents that may be shared are password protected. 

Data is kept safe. Our IT systems have adequate anti-virus and firewall protection that’s up to date. Staff understand what they must and must not do to safeguard against cyber-attack, and that passwords must be strong and not written down or shared.

How we use cookies. We may use cookies to: 

Analyse our web traffic using an analytics package. Aggregated usage data helps us improve the website structure, design, content and functions. 

Cookies do not provide us with access to your computer or any information about you, other than that which you choose to share with us. 

Controlling cookies. You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of this website may become inaccessible or not function properly.  

Google Analytics 

This website uses Google Analytics, a web analytics service provided by Google, Inc. ('Google'). 

Google Analytics uses 'cookies', which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States.  

Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage.  

Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google.

Data breach 

In the case of a data breach, we will contact all affected and assess the impact of the breach on our clients' rights and freedoms.
